Managing Calendar Events

Last updated Oct 15, 2026100% grounded

Overview

Managing calendar events lets you view your schedule in different formats, create single or recurring meetings, and quickly jump into video calls when it is time to meet. Your calendar syncs across connected accounts to keep your schedule accurate and up to date.

Note

Make sure you have connected at least one calendar account in your settings before creating or managing events.

Switching Between Week and Month Views

View Options and Shortcuts

You can change how your calendar displays your schedule at any time using the view options or keyboard shortcuts.

  • Day View: Focuses on a single day's hourly schedule.
  • Week View: Displays a rolling 7-day window starting from your selected date.
  • Month View: Displays a full month grid summarizing your schedule week by week.

How to Switch Views

  1. Look at the top right corner of the calendar toolbar.
  2. Click on the Segmented Control displaying Day, Week, or Month.
  3. Alternatively, use these keyboard shortcuts:
    • Press d for Day view.
    • Press w for Week view.
    • Press m for Month view.
    • Press t to jump back to Today.
    • Use the Left Arrow and Right Arrow keys to step backward or forward through time.

Creating Events

Creation Methods

You can create new events instantly by typing a natural sentence or by clicking directly on the calendar grid.

Method 1: Using Quick Add

  1. Locate the Quick Add bar at the top of the calendar, or press q (or ⌘ + K).
  2. Type your event details in plain language (for example: Lunch with Marco tomorrow at 1 at Bar Pisacco or Team sync every Monday at 10 on Meet).
  3. Press Enter. The event creation form will open with your details pre-filled.
  4. Review the details and click Save to confirm.

Method 2: Clicking an Empty Time Slot

  1. In Week or Day view, click on any empty time slot in the grid.
  2. In Month view, click on any day number.
  3. The create event dialog will open pre-filled with that specific date and time.
  4. Add a title, location, or guests, then save the event.

Tip

If you add attendees to a meeting and request a video call (such as by typing on Meet or on Teams), the system automatically provisions a native conference link for supported providers.

Managing Recurring Meetings

Recurrence Rules and Scope

Recurring meetings repeat on a regular schedule (such as daily, weekly, or monthly).

How to Set Up Recurrence

  1. Open the event creation dialog or edit an existing event.
  2. Locate the recurrence options and select how often the event should repeat (e.g., daily, weekdays, weekly, or custom intervals like every other Tuesday).
  3. Save your changes.

Editing or Deleting Recurring Series

When you update or delete an event that is part of a recurring series, the system prompts you to choose the scope of the change:

  • This event: Applies changes or deletions only to the single selected instance.
  • All events: Applies changes or deletions to the entire meeting series.

Joining Video Calls

When an event has an associated video conference link, you can join directly from your calendar details or desktop reminders.

How to Join a Call

  1. Click on the calendar event to open its details panel.
  2. Look for the meeting link section.
  3. Click the join or conference link to open the video call in your browser or desktop app.

Note

Supported video providers for automated conference creation and meeting links include Google Meet and Microsoft Teams. For iCloud or other accounts, you can manually add custom URLs as needed.

Key Concepts

  • Time Zones: Your calendar grid and event times automatically render according to your saved timezone preferences in your settings.
  • All-Day Events: Events that span entire days (such as holidays, PTO, or out-of-office trips) appear at the top of the day and week views.
  • RSVP Status: Meeting invitations show your current response status. You can accept, decline, or mark yourself as tentative directly from the event details panel.
