Using AI Assistant

Last updated Oct 15, 2026100% grounded

Overview

The built-in AI Assistant is your intelligent scheduling partner. It connects directly to your calendar to help you manage your time, find open slots, reschedule meetings, check availability for yourself and others, and optimize your overall work week using plain, natural language.

You can interact with the assistant using everyday phrases like "Am I free Thursday afternoon?", "Find 30 minutes with Sarah next week", or "Block two hours tomorrow for deep work". The assistant analyzes your connected calendars, respects your working hours and timezone, and performs the necessary actions or answers your questions directly in a conversational sidebar.

Starting a Chat and Interacting

  1. Open the assistant panel by clicking the Assistant button in the sidebar or navigation header (or use the designated keyboard shortcut).
  2. Type your question or request into the message box at the bottom of the thread. You can also pick one of the suggested starter prompts if you aren't sure what to ask.
  3. Press the send button or hit Enter to submit your message.
  4. Watch as the assistant reviews your calendar data, executes any necessary tools, and responds with helpful insights, schedule summaries, or confirmations.

Tip

You can stop the assistant from generating a response at any time by clicking the square stop button inside the composer while it is working.

Key Capabilities and Commands

Checking Availability

  • Your own schedule: Ask questions like "Am I free today from 3 PM to 5 PM?" or "When am I free tomorrow?" to check your personal availability and review potential scheduling conflicts.
  • Other attendees: Ask "Are Sarah and John free on Friday?" or "When can the design team meet?" to check mutual availability across external calendars and find common free time slots.

Managing and Rescheduling Events

  • Scheduling new events: Tell the assistant what to add, such as "Add Lunch with Marta tomorrow from 1 PM to 2 PM" or "Block an hour of focus time on Thursday".
  • Moving meetings: Reschedule events quickly by providing an offset or an absolute target, such as "Move the team sync on Friday to the next free slot" or "Move that meeting back by a day".
  • Batch modifications: Apply updates across multiple events, such as adding buffer times between meetings or updating recurring series.

Schedule Optimization

  • Ask the assistant to review your upcoming schedule for heavy meeting loads, back-to-back chains, or fragmented gaps.
  • Use commands to analyze your past meeting hours, frequent collaborators, and productivity trends over the last week or month.

Tips for Best Results

Tip

Be specific with dates: Using natural terms like "tomorrow", "next Monday", or specific dates helps the assistant immediately locate the correct day range without needing clarification.

Warning

Check your connected accounts: If you have multiple calendars connected, make sure the relevant accounts are active and connected so the assistant has complete visibility into your availability.
