Group Scheduling Polls

Last updated Oct 18, 2026

Overview

Group scheduling polls make it easy to find a meeting time that works for everyone. Instead of going back and forth over email trying to find an open slot, you can propose several potential meeting times, share a single link with your group, collect their availability, and confirm the best slot with a single click.

Creating a Group Scheduling Poll

1. Start a New Poll

Navigate to the Meeting polls section in your dashboard and click New poll.

2. Configure Meeting Details

Enter the core details for your upcoming meeting:

  • Title: The name of the meeting.
  • Duration: Choose how long the meeting will last. Supported durations include 15, 30, 45, 60, 90, and 120 minutes.
  • Location: Select whether the meeting takes place via a video conference link or another location type.

3. Add Guests

Add the email addresses of the people you want to invite. You can type an email address and press enter, or select from your saved contacts.

4. Propose Times

The system will automatically analyze your connected calendar and suggest optimal times based on your free slots and working hours.

  • You can accept the system's default suggestions or click any free spot on your week view to add or remove proposed times.
  • You can propose up to 5 different times.

5. Publish the Poll

Review your choices and create the poll. Once created, you will receive a unique sharing link to send to your invitees.

Managing and Confirming Polls

As participants submit their responses, you can track who is available for each proposed time directly from your polls dashboard.

When you are ready to finalize the meeting:

  1. Open the poll from your Meeting polls list.
  2. Review the participant breakdown for each time slot to see who can make it.
  3. Click Confirm next to the preferred time slot.
  4. In the confirmation dialog, review who will receive calendar invitations and choose whether to include any unlisted participants who responded via the public link.
  5. Click Confirm to finalize the event.

Note

Confirming a poll automatically creates the calendar event on your connected calendar, sends out invitations to all participating guests, and closes the poll.

Tip

If you have a busy calendar overlap at the chosen time, the system will warn you, but you can choose Confirm anyway to proceed with booking over it.
