AI Calendar Assistant

Last updated Oct 18, 2026

Overview

The AI Calendar Assistant is an intelligent companion built right into your calendar. It allows you to use conversational natural language commands to manage your schedule effortlessly. Instead of manually clicking through menus, searching for open slots, or filling out long scheduling forms, you can simply talk or type to the assistant to find free times, create meetings, check availability, and optimize your daily routine.

The assistant connects directly to your calendar accounts to read your schedule, verify mutual availability with guests, automatically check for scheduling conflicts, and block out dedicated time for focus work. It also provides helpful summaries, workload insights, and actionable suggestions to help you maintain a healthy work-life balance.

Finding Free Slots and Checking Availability

Overview of Availability Features

You can ask the assistant to find available time blocks for yourself or check when others are free without having to inspect your calendar manually.

Checking Your Own Availability

  • Natural language examples:
    • "Am I free tomorrow from 3pm to 5pm?"
    • "When am I free on Thursday?"
    • "I need 2 hours of free time on Friday."
  • What it does: The assistant evaluates your active calendars, accounts for your defined working hours, and tells you whether you are free or busy. If you request a longer block of time (such as 2 hours or more), it will pinpoint specific open time ranges that meet your duration requirements.

Checking Other People's Availability

  • Natural language examples:
    • "Is Sarah free on Tuesday afternoon?"
    • "Check if john@example.com is available at 10am tomorrow."
  • What it does: The assistant looks up the availability of specified attendees and reports back whether they are available, busy, or if their calendar status is unknown.

Finding Mutual Meeting Times

  • Natural language examples:
    • "Find 30 minutes with Alex next Monday."
    • "When can the product team meet this week?"
  • What it does: The assistant checks your calendar alongside all requested attendees, automatically factors in everyone's availability, and returns a scored list of the best mutual time slots.

Creating Meetings and Events

Overview of Event Creation

You can create single events, recurring schedules, or focus blocks simply by describing what you want to add in plain language.

Creating Single Events

  • Natural language examples:
    • "Schedule a meeting with David tomorrow at 2pm."
    • "Add dentist appointment on Friday at 10am."
    • "Vacation Dec 15-20"
  • What it does: The assistant automatically detects whether an event is a timed meeting or an all-day event (such as PTO, holidays, or trips). For meetings with attendees, it can automatically create and attach video conferencing links.

Note

The assistant includes built-in conflict checking. If a requested time slot is already taken, it will notify you and prevent double-booking unless you explicitly instruct it to ignore conflicts.

Scheduling Recurring Events

  • Natural language examples:
    • "Set up a weekly team meeting every Monday at 9am."
    • "Create a daily standup every weekday from 9:30am to 10am."
  • What it does: The assistant understands complex repetition patterns and sets up recurring series on your calendar in a single step.

Blocking Focus Time

  • Natural language examples:
    • "Block two hours tomorrow morning for deep work."
    • "Schedule 90 minutes of focus time every weekday."
  • What it does: If you don't specify an exact time, the assistant automatically scans your day to find an optimal open slot (preferring peak productivity hours like 9:30 AM – 11:00 AM) and reserves it for uninterrupted deep work.

Optimizing Your Day and Schedule

Overview of Schedule Optimization

The assistant analyzes your meeting patterns to help you reduce meeting fatigue, prevent burnout, and manage your workload effectively.

Key Optimization Features

FeatureDescriptionExample Command
Schedule AnalysisCategorizes your day or week as light, moderate, or heavy based on meeting count and total hours."Analyze my schedule for this week."
Buffer Time ManagementAutomatically inserts short transition breaks between meetings to prevent back-to-back fatigue."Add 10-minute buffers to all meetings today."
Conflict DetectionScans a date range to identify overlapping meetings and double-booked time slots."Find any scheduling conflicts for next week."
Meeting Notes SearchSearches through past meeting notes, summaries, and transcriptions to recall past decisions and action items."What did we decide about the API in last week's meeting?"

Tips and Best Practices

Tip

Be specific with names and dates: When scheduling meetings, mentioning names (e.g., "Meeting with Sarah") allows the assistant to automatically resolve guest emails from your contacts and check their availability.

Tip

Use natural phrasing for ranges: You can use flexible terms like "next week", "tomorrow afternoon", or "end of month" when asking about your schedule or searching for past notes.

Warning

Check bulk actions carefully: When executing bulk updates or clearing a range of calendar events, the assistant performs a safe preview (dry run) first. Always review the summary before confirming destructive actions.
