Overview
Managing your availability and working hours ensures people can only book meetings with you when you want them to. You can set regular weekly schedules, configure buffer times between appointments, and mark out-of-office periods across all your booking links.
Setting Regular Weekly Working Hours
Updating your weekly schedule
Your regular weekly schedule determines which days and times you are generally open for meetings. When you create a new booking link, it automatically inherits these default working hours.
- Go to Settings and select Preferences.
- Locate the Working hours section.
- Use the dropdown hour selectors to set your start and end times, or choose a quick preset (such as 9 to 5 or 8 to 6).
- Changes are saved automatically as you make them.
Note
You can also adjust hours for individual booking links when editing a specific link under its When section.
Configuring Buffer Times and Transition Breaks
Setting breaks and booking limits
Buffer times automatically add a short break after each meeting, giving you time for transitions, bio breaks, or meeting notes without being double-booked.
- Break after each meeting: Choose from
0,5,10,15, or30minutes. - Minimum notice: Prevent last-minute bookings by setting a minimum advance notice (ranging from immediate up to 48 hours).
- Booking window: Control how far in advance guests can book (from same-day up to 90 days ahead).
Managing Out-of-Office and Away Periods
Adding away dates
When you take time off, you can set "Away" periods. Away periods apply to your entire profile, automatically blocking all booking links for the specified dates.
- Navigate to the Availability page (
/availability). - Under the Away section, click Add away period.
- Select your holiday or time-off range using the calendar.
- Optionally, add a note explaining your absence.
- Toggle Shown to guests on if you want visitors to see your note when they view your blocked dates.
- Save the period.
Warning
You can create up to 50 away periods per user. System rules prevent overlapping dates to keep your calendar schedule clean and unambiguous.
Managing Conflict Calendars
Controlling busy calendars
The Counts as busy section lets you choose which of your connected calendar accounts and individual calendars contribute to your busy schedule.
- Every connected calendar is included by default.
- You can toggle individual calendars off if you do not want their events to block your booking availability.
- Apple calendars are always checked together as an account-level service.
