Troubleshooting and FAQ

Overview

Introduction

This guide helps you resolve common issues related to calendar synchronization, scheduling time zones, account login errors, and meeting audio uploads.

Calendar Sync Discrepancies and Availability Issues

If your scheduling links show incorrect availability, or if external events fail to block out time properly on your calendar, follow these steps to troubleshoot:

  1. Check conflict calendar settings: Navigate to your Availability settings page and verify which calendars are set to Counts as busy. By default, all connected calendars count as busy, but you can toggle off specific calendars that shouldn't gate your availability.
  2. Review Apple account behavior: Note that Apple (iCalendar/CalDAV) accounts are always checked together. Per-calendar opt-out is not available for Apple accounts because their free and busy status is managed at the account level.
  3. Inspect calendar connection status: If a connected account's token has expired or encountered a permissions error, you will see a status badge indicating that the account Needs reconnecting. Click Reconnect next to the affected account to re-authenticate.

Tip

If a calendar read fails due to a temporary network issue, the system treats the account as busy rather than free to prevent accidental double-bookings. Click Retry on the conflict calendars manager to refresh your data.

Booking Time Zone Confusion

Time zone discrepancies can cause confusion when scheduling meetings across different regions. The system handles time zones using the following core behaviors:

  • Availability Windows: Availability windows (such as 09:00 to 17:00) are interpreted as wall-clock times in the link owner's saved timezone.
  • Instant Conversion: The system converts wall-clock times to Universal Coordinated Time (UTC) before evaluating overlaps and conflicts.
  • Guest Display: Public booking pages automatically detect and display time slots in the visitor's local browser time zone.
ConceptDescription
Owner Time ZoneThe time zone configured on your scheduling link, used to calculate working hours and daily availability grids.
Guest Time ZoneThe local time zone of the person booking time with you, used to render slot picker buttons accurately.
Instant ComparisonAll bookings and busy intervals are compared as exact global moments in time to prevent overlapping schedules.

Login and Authentication Troubleshooting

If you encounter authentication errors or get locked out of your account during sign-in, try the following steps:

  1. Return to the sign-in page: If an unexpected error occurs during authentication, navigate back to the sign-in page using the recovery link provided on the error screen.
  2. Provider-direct sign-in: The software relies on direct sign-in through your calendar providers. The system never stores your Google or Microsoft account passwords. For Apple accounts, verify that you are using a valid app-specific password.
  3. Supported providers: You can connect multiple accounts across supported calendar providers.
    • Supported providers: Google (including Google Workspace), Outlook (Microsoft 365), Apple (iCloud)

Warning

If you revoke permissions directly from your Google or Microsoft account security settings, you must reconnect your account from within the settings dashboard to restore calendar synchronization and booking functionality.

Audio Upload and Meeting Recording Issues

Meeting recording and transcription features are available in the desktop application on supported operating systems.

  • Supported Platforms: Desktop app available for macOS, Windows, and Linux. Meeting recording and automatic transcription are supported on macOS and Windows.
  • Recording Workflow: Press Record on a meeting or its reminder in the desktop app to capture your microphone and the call audio. Once the call ends, the system generates a transcript with speakers, summaries, and action items.
  • Data Retention: The software deletes raw audio recordings immediately after transcription is complete. If a deletion encounters an issue, the file remains stored locally until manually removed.

Important

Always inform participants on the call before you begin recording a meeting.
