Overview
Managing bookings conflicts ensures that your calendars remain accurate and you never get double-booked when people schedule meetings through your links. The system automatically inspects your connected calendars, prevents overlapping bookings, and provides tools to review, reschedule, or cancel appointments as your schedule changes.
Reviewing Incoming Bookings
Bookings Dashboard Tabs
The Bookings dashboard organizes your meetings into three tabs:
- Upcoming: Confirmed meetings that have not yet ended, listed in chronological order.
- Past: Confirmed meetings that have already ended, listed with the most recent first.
- Cancelled: Every meeting that has been cancelled.
Viewing Booking Details
- Navigate to the Bookings page from your dashboard.
- Click the More button (
...) next to any booking row. - Select View to open the details dialog, which displays the meeting time, guest name, attached link title, and any notes or custom questions provided during booking.
Rescheduling and Canceling Meetings
Canceling a Booking
- Open the Bookings page and find the meeting under the Upcoming tab.
- Click the More button (
...) next to the booking row and select Cancel. - Optionally, type a cancellation reason in the text box (this will be emailed to the guest).
- Click Cancel booking to confirm.
Note
Canceling a meeting automatically frees up the time slot on your calendar and sends an email notification to the guest.
Rescheduling a Meeting
Guests can reschedule meetings using the manage link provided in their confirmation email.
- If a guest chooses a new time, the system automatically checks your availability, reserves the new slot, creates the updated calendar event, and removes the old event.
- Rescheduling is restricted if the meeting time is too close to the current time or if the booking link has been switched off.
Preventing Double Bookings Across Calendars
Counts as Busy Settings
By default, every event on your connected calendars counts toward your busy time. If you have calendars that contain personal events or items that should not block scheduling links, you can adjust them:
- Go to your Availability settings page.
- Under the Counts as busy section, locate the calendar you want to modify.
- Switch off the toggle next to any calendar whose events bookings are allowed to overlap.
Note
Apple calendar accounts render as read-only for conflict settings because their free and busy data is managed at the account level. They are always checked together.
Buffer Times
Scheduling links support buffer minutes before and after meetings. When a guest books a slot, the system automatically blocks out the meeting duration plus your configured buffer time to prevent back-to-back scheduling collisions.
Troubleshooting Connection and Conflict Errors
If a calendar connection fails or a time slot appears unavailable unexpectedly, the system handles errors securely to protect your calendar data.
| Error Scenario | System Behavior | Next Steps |
|---|---|---|
| Disconnected Calendar Token | Treats the affected account as fully busy to prevent double bookings. | Go to your account settings and click Reconnect for the specific provider. |
| Failed Conflict Pre-Check | Relies on database-level strict unique constraints (EXCLUDE constraints) to block overlapping bookings. | Retry the action; if problems persist, check your calendar integrations. |
| Unreadable Calendar Data | Fails closed by treating the window as busy rather than allowing a risky double-booking. | Click Retry on the conflict calendar manager or reconnect the integration if authentication has expired. |
Warning
If an account's calendar list fails to load due to an expired or revoked authorization grant, guest views may show unexpected busy times until you reconnect the provider.
