Managing Bookings

Last updated Oct 19, 2026

Overview

The Bookings feature allows you to track, view, and organize all appointments booked through your scheduling links. You can view upcoming meetings, review past sessions, handle cancellations, reschedule appointments, and configure away periods to automatically block out time when you are unavailable.

Tracking Incoming Appointments

You can view and manage all your scheduled appointments from the Bookings dashboard.

  1. Navigate to the Bookings page from your dashboard.
  2. Use the tabs at the top to filter your view:
    • Upcoming: Shows confirmed meetings that have not yet ended, ordered with the soonest first. Active, in-progress meetings remain visible here.
    • Past: Shows confirmed meetings that have already ended, ordered with the latest meeting first.
    • Cancelled: Shows all cancelled bookings, ordered with the latest meeting first.

Note

Meetings automatically update their status from upcoming to in-progress or ended based on your configured timezone and the current time.

Rescheduling Meetings

How to Reschedule

Meetings can be rescheduled either by you or by your guests. Guests can reschedule their bookings using the unique management link provided in their confirmation email.

  1. Open the guest management page using the link from your confirmation email.
  2. Click Reschedule to open the scheduling page.
  3. Choose a new date and available time slot.
  4. Confirm the change to update the meeting.

Warning

Rescheduling may be blocked if the meeting is too close to its start time, or if the booking link has been switched off or deleted by the organizer.

Cancelling Bookings

How to Cancel

You can cancel confirmed meetings at any time before they end. When a booking is cancelled, the system automatically updates the booking status, attempts to remove the event from your calendar, and emails all participants.

  1. Open the Bookings page and find the appointment under the Upcoming tab.
  2. Click on the booking row to open its details, or click the cancel action.
  3. In the cancellation dialog, optionally type a reason for the cancellation.
  4. Click Cancel booking to confirm.

Important

When a guest cancels, you receive an email notification containing any reason they provided. When you cancel as the organizer, an email notification is automatically sent to the guest.

Configuring Away Periods

Setting Up Away Time

Away periods allow you to block out specific date ranges across every booking link, functioning similarly to an "Out of Office" setting. No slots will be offered on your public booking pages during these dates.

  1. Go to your Availability settings page.
  2. Locate the Away section and click Add away period.
  3. Select your desired date range using the calendar.
  4. Optionally add a note (such as "Holiday" or "Parental leave").
  5. Toggle whether the note should be Shown to guests on your booking page.
  6. Save the period.

Tip

If you choose to display your away note publicly, guests visiting your booking page during those dates will see an away notice card instead of standard time slots, and the dates will remain selectable to view the notice.

Managing Existing Away Periods

To remove an away period, go to the Away section in your Availability settings and click the trash icon next to the period you want to delete.
